How the calculation works

Nothing here is hidden behind a black box. Four multiplications and one subtraction:

  1. Cost per ticket = handle time ÷ 60 × fully loaded hourly cost.
  2. Deflected tickets = monthly tickets × deflection rate.
  3. Gross saving = deflected tickets × cost per ticket.
  4. Net saving = gross saving − platform cost.
  5. Payback = platform cost ÷ gross monthly saving.

The deflection rate is the one input worth arguing about. It is a property of your ticket mix, not of the vendor: a queue of order-status questions deflects far higher than a queue of billing disputes. If you have a ticket-tagging report, count the share of tickets whose answer already exists in your documentation — that is your ceiling.
